The Part Time Compliance Specialist provides excellent customer service while conducting administrative support to Blue Rhino distribution locations and its employees. Maintains attention to detail, works safely, and completes all assigned work completely, accurately, and in a timely manner. Typically requires a high school diploma or equivalent with 3-5 years administrative office experience.

Responsibilities

  • Determines and administers regulatory compliance documents for new account installations and establishes & maintains records for future use in determining the regulatory requirements for each city/town/township and state.
  • Processes, organizes, and files paperwork following Blue Rhino procedures.
  • Professionally and timely answers and responds to customers, Blue Rhino drivers and others via oral, written/email and telephone communication.
  • Provides exceptional customer service by keeping customers informed of updated service information (next delivery date) and answers customer inquiries.
  • Assists customers in issuing, transferring, and renewing their state licenses.
  • Communicates with state licensing personnel on a regular basis to assist in any licensing issues.
  • Communicates with state inspectors on a regular basis to assist any regulatory issues.
  • Reports any city or state violations to management immediately.
  • Assists customers in resolving issues with local and state inspectors dealing with Blue Rhino propane.
  • Tracks all violations (city or state) to ensure they are completed in a timely manner.
  • Assists in administration of inventory, including document consolidation, computation comparisons, record keeping and other duties as assigned.
  • Maintains inventory shipping and receiving for distribution and remains in constant communication with management by providing daily load sheets and weekly inventory reports.
  • Provides support to manager on employee time entry in Kronos timekeeping system.
  • Reconciles daily receivables, including reporting and daily deposits to the bank in accordance with Blue Rhino financial procedures.  COD payments are deposited the next business day and any discrepancies are reported to management immediately.
  • Supports manager with human resources tasks, including recruiting, processing new hire paperwork, supporting existing employees with guidance on benefit questions.
  • Supports management with daily functions including, (routing, Roadnet, call center, maintenance center, install center, product receiving supply procurement, E-Works, etc.).
  • Serves as a back-up router in the absence of the distribution manager and assistant distribution manager.
  • Determines and collects any missing information from daily delivery tickets (such as store stamps, DSD, payment).
  • Maintains a professional appearance and demeanor to all employees and visitors.
  • Maintains a neat, organized and professional work area – desk, files, and supplies.
  • Maintains document/record security at all times to include office supplies and any other sensitive information and/or purchased items.
  • Follows all Ferrelgas/Blue Rhino safety procedures and complies with all Blue Rhino distribution policies.
  • Completes all tests and reads all safety meeting material in the designated time frame.
  • Attends all safety meetings unless otherwise directed.
  • Completes all assigned work safely.

Qualifications

  • High school diploma or equivalent.
  • 3-5 years’ administrative office experience.
  • Excellent written and verbal communication skills.
  • Excellent problem solving and analytical skills.
  • Highly organized, detail oriented and able to multi-task based on changing priorities.
  • Strong customer service focus with an ability to calmly handle difficult situations regarding customer perceptions and driver issues.
  • Proficient in Microsoft Office including Word, Excel, PowerPoint and Outlook.
  • Ability to learn Blue Rhino proprietary computer system.
  • Ability to learn quickly, adhere to policies and procedures and execute at a high level of performance.
  • Sense of urgency, attention to detail and dependability.
  • Ability to change or adapt work practices, priorities, or procedures, or to reschedule activities in response to changing conditions or multiple work demands.
  • Ability to work well in a group and independently as needed.
  • Respects people of all backgrounds and treats everyone fairly by maintaining a consistent set of standards.
  • Maintains a high level of knowledge of Blue Rhino operations, acceptable product quality, procedures, points of contact, etc.
  • Ability to work a flexible schedule which may include weekends, evenings, holidays and overtime as needed.
  • Must be a Citizen or National of the United States, a lawful, permanent resident, or have authorization to work in the United States
